TIFF, a vibrant not-for-profit arts organization, is hiring for the position of:


Reporting to the Senior Manager, Individual Giving and Operations, the Manager, Advancement Operations will oversee Advancement’s database, administration, and financial reporting – ensuring efficient day-to-day operations that maintain strong standards and integrity. In addition, this role will focus on the continual development and improvement of the department’s systems and processes.

Database Administration & Integrity
• Continuous development and representation of departmental solutions related to team effectiveness (systems, processing, work-flows)
• Find creative and directed uses of data for improved fundraising and communication efforts (i.e. donor / member retention, stewardship, prospecting, and reporting)
• Database supervisor and administrator, overseeing the organization and entry of data in all departmental systems and ensuring its overall integrity including design and enforcement of policy (including troubleshooting)
• Review and provide recommendations on the logic and structure of Advancement campaigns and events
• Ensure ongoing accurate flow of Advancement revenue in TIFF systems
• Develop and enforce policy for processing of all types of payments, gifts, and recognition within department, and at times within TIFF
• Coach and train Advancement staff for full use of data needs and maintenance of Advancement Operations manual (documentation)

Canada Revenue Agency (CRA) & Finance Compliance
• Act as CRA compliance officer, with the oversight of tax-receipt administration – including calculations of advantages for fundraising events and memberships
• Support in the creation of annual budget, and ongoing forecasting
• Track and report on revenue and expenses – including sales for memberships

Departmental Production & Business Planning
• Continuous development of departmental policy and procedures including improved inter-department workflows, working with colleagues to be proactive in planning
• Project manage department infrastructure initiatives for overall department, and within operations team
• Ensure compliance and dissemination of Financial protocols
• Onboard new staff members on all departmental systems
• Manage departmental critical path
• Represent department in select meetings as required

• Minimum of 3 years management experience with staff supervision, database management, and project management
• Minimum of 4 years experience with customer relation management software i.e. Archtics, Raiser’s Edge, Sales Force
• Must have previous experience with Canada Revenue Agency guidelines (tax receipting)
• Advanced skill set in Microsoft Excel and familiarity with VBA macros, SQL
• Post-secondary degree or diploma or equivalent work experience in database administration, finance, or MBA
• An effective leader who builds a highly motivated and productive team. Ability to coach a team to become critical thinkers with data
• A genuine drive to challenge status quo to improve processes and systems of Advancement and TIFF with a creative ability to think of out of box solutions to address encountered challenges
• Skilled at planning, and creating simple, easy-to follow-processes from complex or ambiguous situations
• Ability to translate complex data and processes into easy-to-understand language for staff and stakeholders
• Ability to troubleshoot database issues with a high level of expertise and autonomy
• Exhibits a high level of personal accountability and possesses the ability to order and manage many simultaneous priorities
• Able to respect and maintain a high degree of confidentiality and discretion
• Enhanced skills with sales, trending, and financial reporting including data marketing and prospect management
• Data visualization is an asset but not a requirement
• Experience with wide range of fundraisers (events, raffles, lotteries, etc)
• Familiarity with AFP (Association of Fundraising Professionals) Donor Bill of Rights and AFP Code of Ethical Principals and Standards
• Adaptable to a flexible work schedule including some evenings and weekends
