Job Summary
The responsibilities of this job include coordinating the overall deadlines for the Development division’s projects, budget monitoring and providing administrative assistance to all revenue generation and cultivation activities taking place within the division. In addition to involvement with stewardship of public and private donors, and outreach and coordination of the CCA membership, the Administrative Coordinator assists the Associate Director, Development in all donor-related activities and participates in the planning and production of Development events.

Main Job Responsibilities
Project coordination and monitoring
• Ensures that information is relayed between the division and other services of the CCA regarding schedule management for activities and project timelines
• Ensures the budget is monitored and reconciled between various accounting systems and prepares required reports and expense reimbursement requests
• Coordinates the transmitting and receiving of documents with donor and partner recognition programs

Stewardship of Public and Private Donors
• Researches and recommends funding options for prospects in both the public and private realm through AJAH Fundtracker and other sources
• Creates, implements and manages donor information in the database, ensures that deadlines are met, expectations are fulfilled and information is both secure and confidential where appropriate
• Ensures tax receipts, acknowledgement receipts and thank you messages are done in a timely manner by the appropriate staff person, and with continuity of design and message that is reflective of established CCA practices
• Ensures that sponsor and donor contracts are respected and reports produced on time by the appropriate staff member in a design and manner consistent with the vision of the CCA
• Engages with donors to understand better their connection with the CCA

Outreach and Coordination of the CCA Membership and Volunteers
• Implements and continues to improve the membership plan for the CCA including membership benefits, cards, activities and connection to the CCA
• Analyzes membership data and recommends ways to enhance the membership experience

Advise and Assist the Associate Director, Development
• Monitors Development budgets and prepares the required reports
• Assists the Associate Director, Development with planning and production of Development Committee meetings and preparation for Board of Trustees meetings
• Provides administrative support, plans and ensures that meetings are followed up on, and prepares related documentation as required
• Provides research and production support of reports as required by CCA management
• Provides advice and supports the Associate Director, Development regarding team meetings, Human Resources needs and education and training options for Development staff
• Manages accurate and up-to-date Development information, both electronic and archival

Job qualifications required
• Education: Diploma in administration (undergraduate degree) or equivalent
• Number of years of relevant work experience: 3 years
• Excellent knowledge of spoken and written French and English
• Ability to write clearly and concisely
• Ability to learn quickly and ease with databases and Microsoft Office
• Knowledge of Raiser’s Edge or other fundraising databases/CRMs is an asset
• Knowledge of project methodology and budget management, comfortable with numbers
• Organized and attentive to details while keeping sight of broader goals
• Self-confidence, comfort and graciousness when interacting with new people, especially donors
• Self-reliant, energetic, collaborative
• Familiarity with and/or interest in learning and understanding the vision and culture of the CCA
• Accuracy and precision in document preparation, filing and archiving
• Experience in the philanthropic sector and fundraising preferred
