The mission of the MNO Registry is to build an objectively verifiable database of Métis citizens through the fair and consistent application of the Interim Registry Policy and Guidelines which have been clearly communicated and are widely understood, and supported by an objective assessment of all fully documented applications received in a time effective manner. The Métis Nation of Ontario Registry seeks a strong team player committed to quality service as a Processing Clerk, located at the MNO office in Ottawa with some travel throughout the province. This is a full-time position, with enrollment in Group Benefits Plan and Registered Pension Plan upon successful completion of three months’ probation.

In carrying out the following duties, it is expected that the Processing Clerk will at all times:

• Fully understand the significance and fundamental importance of MNO’s Statement of Prime Purpose (SPP) to all MNO’s work, and to the requirements of the position specifically
• Adhere to MNO Policies and Procedures and MNO’s Financial Policies and Procedures
• Uphold MNO’s Standards of Professional Conduct
• Adhere to Privacy Laws and respect confidential information
• The employee must be cognizant of the Ontario Employment Standards Act, Occupational Health and Safety Act, Workers' Safety and Insurance Board, Ontario Human Rights Code, Canadian Human Rights Act, and other legislative provisions governing the employment relationship between MNO and the employee
• Ensure that all activities are conducted in accordance with established Métis Nation of Ontario Policies and Procedures and Contribution Agreements (CA)
• Work in collaboration within the Branch, other MNO branches, MNO leadership, MNO citizens, MNO contractors and consultants on related projects
• Attend the Annual General Assembly (MNO Policy 2.120)

The incumbent is responsible for the following items, as well as other duties and responsibilities
as may be assigned by the Designated Approving Authority:
The Processing Clerk is responsible for being the first point of contact for prospective Métis Nation of Ontario Citizenship applicants. The Processing Clerk is responsible for the day to day processing of incoming Citizenship applications. Reporting to the Senior Assessment Officer, the Processing Clerk is to review and ascertain completeness of the documentation required for application, ensuring that all activities are conducted in accordance with established policies and processes. The responsibilities include, but are not limited to:

Application Processing
1. Ensure that all activities are conducted in accordance with established Métis Nation of Ontario policies and procedures
2. Review data input for correctness
3. Check the documentation submitted by applicants against the Métis Nation of Ontario Tracking Sheet
4. Review the documentation to determine if the applicant has provided complete initial requirements to formally continue the application process

Client Communications
1. Provide prospective applicants with detailed information on the application process and the supporting documentation required
2. Respond to applicants’ inquires and requests via telephone, email and letter

Administrative Duties
3. Complete data entry into Registry Database
4. Make photocopies and scan documentation submitted where required
5. Verify scanned documentation in database
6. Track files coming from and returning to secure storage
7. Maintain and update ongoing scanning of all files
8. Update spreadsheets as required
9. Perform special projects as assigned

Maintain Confidentiality
10. Maintain highly confidential records and information

Other Duties As Required
11. Any and all duties as assigned by the Registrar or Senior Assessment Officer.


• Minimum of Secondary school education and two years’ office experience
• Accurate data entry and attention to detail
• Demonstrated Customer service skills including strong communication abilities
• Excellent working knowledge of computers (Microsoft Office suite) and standard office equipment
• Well-developed administrative, filing and organizational skills
• Demonstrated ability to work collaboratively in a team environment
• Ability to multi-task
• Knowledge of Métis history, culture and traditions
• Bilingual (English/French)
